The clusters are distinct. Downtown is the center of gravity, though its convention anchor is mid-rebuild: the Austin Convention Center is closed until about 2028, so SXSW now spreads across venues and hotels rather than one hall, and floor shows that need a room run through the Palmer Events Center on Barton Springs Road. The bars on Sixth and Rainey fill with activations, and the Moody Center runs arena concerts a few blocks east at the university. Zilker Park holds the festivals, Austin City Limits above all, on open parkland across Lady Bird Lake. The Domain and the north corridor carry the tech campuses and their launches, with Q2 Stadium and Austin FC just south of it. Then there is Circuit of the Americas, the Formula 1 track and concert venue southeast of the city, past the airport and on its own.
What shapes every plan here is not distance, it is the calendar. Most of the year an order books in two to four weeks. During SXSW in March, ACL across two October weekends, and the F1 Grand Prix in the fall, the whole regional crew pool is spoken for at once, and normal windows blow out. Venue and logistics notes
Palmer Events Center, Barton Springs Road. The city's working convention floor while the Austin Convention Center is closed for its rebuild through about 2028. Two column-free halls, 70,000 square feet, at 900 Barton Springs Road across from the Long Center. Registration and badge desks surge on the front end, and on-site parking is thin, so crew arrive early and stage before the downtown morning build.
Zilker Park. Austin City Limits and the outdoor festivals build a temporary footprint over open grass across Lady Bird Lake. Load-in runs over turf, and every summer and fall call sheet carries a heat and weather plan.
Circuit of the Americas. The F1 track and concert grounds sit southeast of the city, past the airport. Credentialed entry, park-and-ride, and a long haul in mean call times start early and stage well off the main road.
Moody Center and Q2 Stadium. Arena concerts at the Moody Center by the university and Austin FC matches at Q2 Stadium up north run controlled lots and event-day gates. Build a screening buffer before doors.

In Texas, the expensive shortcut is paying event staff as 1099 contractors: back taxes, penalties, and joint-employer liability under federal FLSA and Texas workers' compensation law. Texas follows the federal 40-hour overtime standard; there is no state daily-overtime rule.

Festival weekend at Zilker Park looks like this: a sponsor activation footprint inside a festival gate of 75,000 a day, built from the grass up. Fourteen general labor set tents and load in from six, ten brand ambassadors work the activations and sampling once gates open, eight scan wristbands and credentials, five run info tents and ADA, and three leads split the activation zones on the radio.
