Churchill Downs, South End. Normal race-day seating runs about 50,000; Derby Day opens the infield and the track climbs toward 170,000. Credentialed access for track-adjacent hospitality work means a badge cleared weeks ahead, not a same-week add.
KFC Yum! Center, downtown. 22,090 seats for basketball, the largest U.S. arena built primarily for the sport. Its calendar runs single-night concerts and Cardinals games the rest of the year, an entirely different staffing shape than Derby week.
Kentucky International Convention Center, downtown. 200,125 sq ft of contiguous exhibit space plus a 40,000 sq ft ballroom since its 2018 reopening. Trade-show load-in books against the venue's own move-in window; downtown parking is limited, so crew stage before the morning build.
Kentucky Exposition Center, near the airport. The fairgrounds run a separate, high-volume expo calendar including the National Farm Machinery Show each February; its trade-show staffing pattern looks nothing like a Derby-week order and rarely competes with it for crew.

07The Fine Print
A credentialed badge is not something you fix the week of.
In Kentucky, the expensive shortcut is paying event staff as 1099 contractors: back taxes, penalties, and joint-employer liability under federal FLSA and Kentucky workers' compensation law (KRS Chapter 342).

Here is the shape of a Derby-week hospitality order at Churchill Downs, four days, suite level, 1,200 guests across the program. An advance crew of six starts Wednesday building out suites and signage. Thursday the credentialing crew comes on at 6 a.m., eight strong, running badge checks and a screening buffer well ahead of any doors opening, because a credential that isn't cleared by Thursday does not get cleared by Friday. Friday the floor fills out: ten on hospitality and suite service, six on guest services, three team leads covering the suite banks on a 12-hour day.
