Louisville Event Staffing

TempGuru · Louisville, KY · Updated July 2026
One week a year, Churchill Downs pulls a six-figure crowd and locks the region's crew and hotel rooms for months; the other fifty-one, Louisville runs a steady arena-and-convention market.
Scroll. It gets specific.01The Ground Truth
Louisville has one week that swallows the whole year, and fifty-one that don't.
Kentucky Derby week at Churchill Downs is the single biggest staffing event in this market, full stop. Reserved seating alone runs about 50,000 on a normal race day; open the infield for Derby Day and the track can hold near 170,000. That one Saturday in May sets a lock-in clock the rest of the region's calendar never touches. Away from it, Louisville is an honest mid-size arena-and-convention town: KFC Yum! Center concerts, Cardinals basketball, and trade shows at the Kentucky International Convention Center downtown.
Quick Answer
In Louisville, KY, most event roles fall between $31 and $37 an hour; team leads run $41 to $47, brand ambassadors $47.50 to $54.50, and specialized work like bar and AV up to $67.50. The number is all-in: W-2 pay, workers' comp, general liability, and payroll taxes, no add-ons.
One coordinator runs your order. Standard confirmation is 24 to 48 hours. Typical booking window is 2 to 4 weeks. Derby week is the exception: crew, hotel rooms, and credentialed badges for track-adjacent work lock in six-plus months out, and a genuine non-Derby rush still moves in 2 to 3 days.
02The Map
Four zones, one track that outweighs the rest of the map.
Work clusters in a handful of areas. Downtown, along Fourth Street and the riverfront, holds the Kentucky International Convention Center and KFC Yum! Center a few blocks apart. Churchill Downs and the South End, about fifteen minutes south, exist on their own calendar built around one week in May. NuLu and East Market, just east of downtown, carry the galas and corporate dinners. The Kentucky Exposition Center, south near the airport, runs its own separate trade-show and expo calendar year-round.
The constraint is not distance the way it is in a sprawling Sunbelt market; downtown to Churchill Downs is a short, predictable drive. The constraint is scale and lock-in. A Derby-week order competes with every hotel room, every credentialed badge, and every available lead in the region at once, so the plan for that week gets built on a calendar measured in months, not weeks.
"Derby week doesn't compete with other events in Louisville for crew. It competes with the entire region's hotel rooms and credentialed badges at the same time."Megan Hayward, Founder & CEO, TempGuru
Venue and logistics notes
Churchill Downs, South End. Normal race-day seating runs about 50,000; Derby Day opens the infield and the track climbs toward 170,000. Credentialed access for track-adjacent hospitality work means a badge cleared weeks ahead, not a same-week add.
KFC Yum! Center, downtown. 22,090 seats for basketball, the largest U.S. arena built primarily for the sport. Its calendar runs single-night concerts and Cardinals games the rest of the year, an entirely different staffing shape than Derby week.
Kentucky International Convention Center, downtown. 200,125 sq ft of contiguous exhibit space plus a 40,000 sq ft ballroom since its 2018 reopening. Trade-show load-in books against the venue's own move-in window; downtown parking is limited, so crew stage before the morning build.
Kentucky Exposition Center, near the airport. The fairgrounds run a separate, high-volume expo calendar including the National Farm Machinery Show each February; its trade-show staffing pattern looks nothing like a Derby-week order and rarely competes with it for crew.
03What We Staff
What actually books here.
Five categories cover most Louisville orders, and one of them is really its own market. Derby week at Churchill Downs leads by a wide margin: hospitality suites, credentialed gate support, guest services, and general labor across a multi-day build that culminates on Derby Saturday. Conventions and trade shows fill the Kentucky International Convention Center and Kentucky Exposition Center the rest of the year.
Concerts and arena sports run ushers, scanners, and crowd flow at KFC Yum! Center. Corporate events need check-in, hosts, and setup for meetings and dinners in NuLu and downtown. Brand activations want ambassadors who can hold a script through a Derby-week crowd or a normal Tuesday concert alike.
04The Math
Count the credentialed roles, not just the headcount.
Start from setup and work forward. 5 handle load-in, 0 handle registration's arrival window, 3 leads split the rest at roughly 12 each, 38 billable in all, staggered so the lot never fills before the doors do.
05The Clock
Derby week runs on a six-month clock. Everything else runs on four weeks.
Book early and you lock the crew and the rate. Louisville's calendar has one true peak: Kentucky Derby week at Churchill Downs, when track capacity swings from a normal 50,000 race day toward a 170,000 Derby Day crowd, and the two-week run of Kentucky Derby Festival signature events (Thunder Over Louisville, the mini-Marathon, the Pegasus Parade) stacks on top of it. Crew, hotel rooms, and credentialed badges for that week lock in six months or more out. The rest of the year runs a normal single-event cadence around KFC Yum! Center and the Kentucky International Convention Center.
06The Rate
One rate per role, Derby week or a Tuesday night at the arena.
Ask for a role and one number comes back, the same number whether the order is a Tuesday concert at KFC Yum! Center or a four-day Derby-week build at Churchill Downs. That number already carries the W-2 wage, the payroll taxes, the general liability, and the workers' comp, so the figure you approve is the figure the invoice reads after the suites come down. Kentucky's $7.25 minimum wage is the federal floor these rates are built on, not a separate line item.
| Role | Rate | Min shift |
|---|---|---|
| General labor / setup | $31–$37/hr | 4 hrs |
| Registration | $31–$37/hr | 4 hrs |
| Warehouse / logistics | $31–$37/hr | 4 hrs |
| Team leads / supervisors | $41–$47/hr | 4 hrs |
| Brand ambassadors | $47.50–$54.50/hr | 4 hrs |
| Specialized (bar, AV) | $51.50–$67.50/hr | 4 hrs |
Kentucky minimum wage is $7.25/hr. Every worker on this page is W-2, not 1099.

07The Fine Print
A credentialed badge is not something you fix the week of.
In Kentucky, the expensive shortcut is paying event staff as 1099 contractors: back taxes, penalties, and joint-employer liability under federal FLSA and Kentucky workers' compensation law (KRS Chapter 342).
TempGuru runs every worker as a W-2 employee through a vetted partner agency that acts as the employer of record, carrying the workers' comp, general liability, and payroll taxes on each one. Classification and payroll responsibility sits with that employing agency; your own obligations can still depend on how you direct the work and on applicable law. As W-2 employees, the crew also fall under the workplace protections, including Kentucky Civil Rights Act, that apply to the agency's other staff.
- W-2 employment, not 1099
- Workers' compensation insurance
- General liability coverage
- Payroll taxes: FICA, FUTA, SUTA
08The Model
One coordinator, whether it's a normal Saturday or the one that isn't.
You talk to one coordinator. Behind them, TempGuru pulls vetted W-2 crews from a roster of partner agencies and holds the relationships and the paperwork.
One coordinator, one crew, one invoice. When a credentialed gate needs one more badge cleared at 6 a.m. during Derby week, there is one person to call, and that badge was already in the queue.
| The moment | Gig app | TempGuru |
|---|---|---|
| Someone no-shows at 6 a.m. | A support ticket | A coordinator with a name |
| Workers’ comp | Check the fine print | In the rate |
| Classification & payroll | Yours to sort out | The partner agency’s, as employer of record |
The difference shows up at 6 a.m., not in the demo.
09A Sample Plan
An illustrative staffing order.
Here is the shape of a Derby-week hospitality order at Churchill Downs, four days, suite level, 1,200 guests across the program. An advance crew of six starts Wednesday building out suites and signage. Thursday the credentialing crew comes on at 6 a.m., eight strong, running badge checks and a screening buffer well ahead of any doors opening, because a credential that isn't cleared by Thursday does not get cleared by Friday. Friday the floor fills out: ten on hospitality and suite service, six on guest services, three team leads covering the suite banks on a 12-hour day.
Sunday, a five-person crew tears down and gets freight out. Thirty-eight billable people, one order, one invoice. The difference between this and a normal Louisville week is not the headcount. It is that every piece of it, the crew, the hotel rooms, and the credentialed badges, had to be locked in months before Wednesday, not the week before.
10Your Move
One week outweighs the other fifty-one. Plan it that way.
Cheaper crews are not hard to find most weeks in Louisville. The rare one is the crew that can clear a Churchill Downs credential months ahead, hold a suite level through Derby Saturday, then turn around and usher a normal Tuesday show at KFC Yum! Center the following week, every worker W-2, the whole thing on one coordinator's sheet. That is the order we take in Louisville.
