California Compliance — The Part Everyone Skips

California is one of the hardest states in the country to staff an event in correctly. Coachella is in it. So the usual "we'll just 1099 them" workaround other agencies use is a workers' comp claim waiting to happen.

Here's what actually matters at Coachella:

  • AB 5 classification. Event staff do not pass the ABC test. They're employees, not contractors. Full stop.
  • Daily overtime. California pays overtime after 8 hours in a single day, not just 40 in a week. Festival shifts hit this routinely.
  • Meal + rest periods. Strict 30-minute meal breaks and 10-minute rest breaks, on a schedule, documented.
  • Heat illness prevention standard. Cal/OSHA requires shade, water, acclimatization, and cooldown procedures when temps exceed 80°F. Indio routinely exceeds 95°F in April.
  • Guard card requirements. Anyone on a security post needs a California Bureau of Security and Investigative Services (BSIS) Guard Card.

How far in advance do we need to book Coachella staffing?

For Weekend 1 confirmation with full role coverage, book 90 days out — so late January for April dates. Brand activations with custom uniform or training needs should book 120 days out. We've filled last-minute requests, but you'll pay rush rates and role options shrink.

Can the same crew work both weekends?

For roughly 60–70% of roles, yes. We build Weekend 1 and Weekend 2 as a paired deployment with continuity where it matters (team leads, VIP hospitality, brand activation leads). Some rotation is unavoidable — not everyone can work two full weekends back-to-back — but the people running your operation stay the same.

Are your staff W-2 employees or 1099 contractors?

W-2. Always. Every role, every shift, every festival. California's AB 5 law makes contractor classification for event staff legally untenable, and that's before workers' comp enters the picture. If another vendor is offering you 1099 labor at Coachella, they're offering you their liability.

What's your no-show rate for festival staffing?
